How to Buy Kemira Products and Specialty Chemicals: A 7-Step Procurement Checklist

Honestly, if you're the person responsible for buying specialty chemicals for a small or mid-size manufacturer, you already know the drill. The phrase “just a specialty chemical” can eat a budget faster than almost anything else in the P&L. I've managed our raw materials spend for six years—about $180,000 a year—and I've built this checklist from actual orders, not from a sales deck.

This isn't a chemistry lesson. It's a procurement checklist. It works for Kemira products, coating raw materials, water treatment polymers, paper chemicals, defoamers, or any custom additive. It works for a 5-gallon sample and it works for a 2,000 kg production order. Seven steps.

1. Define the application, not just the chemical name

Before you request a quote, write down what the product has to do. I know this sounds basic, but it's the step most people skip. A high temp vinyl for powder coating and an epoxy for a non-skid deck coating are both “coatings,” but they're not interchangeable.

Take Epifanes non-skid deck coating as an example. If you're buying raw materials for that kind of finish, you need abrasion resistance, recoat compatibility, marine-exposure data, and a VOC profile that works in your region. If you're buying a high temp vinyl for powder coating, you need the cure window, heat deflection temperature, and substrate prep requirements. Same word—coating—completely different failure modes.

Write down: application, substrate, cure temperature, exposure conditions, required certifications. Send that to the supplier. If they quote without asking a single technical question, that's a red flag.

2. Search the supplier, not just the chemical

Generic searches can give you a lot of chemical names but very little context. I've found that searching for Kemira products specifically—rather than “polyacrylamide” or “defoamer” alone—gets me cleaner technical documents. Why? Because manufacturers package their products differently. You're not just buying a molecule. You're buying the formulation, the documentation, and the accountability behind it.

Also verify the legal entity. This is one of those boring details that can cost you weeks. With a global supplier, the quote might come from one legal entity and the shipment from another. I've seen invoices from Kemira Chemicals Germany GmbH even when the plant was not in Germany. That matters for customs, REACH registration, VAT recovery, and payment terms. If the quote, purchase order, invoice, and shipping docs don't all name the same entity, pause the order.

3. Calculate TCO, not unit price

I went back and forth on one order for two weeks: a local distributor offered faster delivery, and the manufacturer had better technical support. I chose the manufacturer because the failure cost of a bad batch was higher than the freight savings. It was the right call, but only because I measured the full cost, not just the unit cost.

Here's a typical example from my own spreadsheet. One supplier quoted $2.30 per kg, all-in. Another quoted $1.95 per kg, but then added $350 for hazmat paperwork, $475 for split shipment, and $150 in documentation fees. The total was $2,925 versus $2,300. The “cheap” quote was 27% more expensive. That's the difference between reading a quote and reading between the lines.

  • What's the MOQ and annual volume requirement?
  • Does the price include packaging, pallets, labeling, and disposal?
  • Are there setup, hazmat, split-shipment, or minimum-invoice fees?
  • What's the shelf life? How much will you write off if the material sits in a warehouse?

4. Verify specs, certifications, and green claims

A datasheet is a promise. The question is whether that promise has been tested. If someone is selling you a high temp vinyl for powder coating, ask for the test method behind the temperature number. Does it mean continuous service, short-term peak, or just a lab value? If someone is supplying additives for an Epifanes non-skid deck coating, ask for the recoat window and surface prep requirements before you approve the bid. Those details are where application failures start.

Also pay attention to marketing. Per the FTC Green Guides (16 CFR Part 260, ftc.gov), environmental claims like “recyclable” or “bio-based” need to be substantiated. If a supplier uses a vague word like “green,” ask which standard they're referencing. This isn't just compliance—it's cost. A failed environmental audit can burn more money than the entire annual chemical budget.

5. Ask one basic technical question

This one sounds too simple, but it filters more suppliers than any RFP. Ask your contact: “What's the chemical formula for sulfuric acid?”

It's H2SO4—not a trick question.

If they can't answer, or if they immediately transfer you, you've learned something. You're not talking to a technical rep. And when a tank pH spikes at 9 p.m., you don't want to be routed through a call center. I do not need a salesperson to know every formula. I need them to know who does. That's basically the whole test.

6. Check compliance and batch documentation before the PO

Check regulatory documentation before you send a PO. In the U.S., you should get an SDS that meets OSHA's Hazard Communication Standard (29 CFR 1910.1200). In the EU, check REACH registration for the exact substance. If the material goes into a coating, check VOC limits for your state or country. If the product is a finished marine coating like Epifanes non-skid deck coating, check whether it meets the regional marine coating requirements.

Then ask for a certificate of analysis for every lot. Batch consistency is a real cost driver. A slight shift in viscosity or solids can change line speed, dry time, or final appearance. That's where the budget disappears—not in the unit price.

7. Run a small trial order before the big one

Run a small trial order before the big one. I don't care how good the quotation looks. Start with a sample, a pail, or at most a drum. A small order is a cheap way to test everything: order accuracy, shipping speed, documentation quality, invoice matching, and support responsiveness. If a supplier treats a $200 order like a nuisance, that tells you what the relationship will look like at $20,000.

Small orders aren't annoying—they're evidence. I've had suppliers who handled a sample order perfectly and then missed a production deadline. But I've never had a supplier who fumbled a sample order and then performed well on a large one. The supplier who took my small order seriously back when I started is still the supplier I use for larger orders.

Track these on every trial order:

  • Order date vs. promised delivery date
  • COA and SDS accuracy
  • Correct legal entity on the invoice
  • Invoice matches the quote within agreed tolerances
  • Technical questions answered within 24 hours
  • No surprise fees at the end

Common mistakes to avoid

Here are the common mistakes I've learned the expensive way (unfortunately):

  • Comparing unit price without accounting for hidden fees.
  • Assuming Kemira products are the same everywhere, regardless of legal entity or country.
  • Buying a high temp vinyl for powder coating based on one number on a website.
  • Ignoring the shelf life of a non-skid deck coating additive, then paying for disposal.
  • Skipping the small trial order because the sales rep says “we've done this a thousand times.”

One caveat: my experience is based on roughly 200 orders with U.S. and European suppliers, mostly in coating materials, water treatment, and paper chemicals. If you're sourcing from other regions or industries, your experience might differ. But the checklist is still a good starting point.

Technical reading notes

When applying this update to a water treatment program, review site water analysis, metallurgy, target discharge limits, current SDS revision, and the internal approval route used by EHS and procurement. A single product name rarely carries enough context for a confident substitution decision.
