How to Verify a Chemical Supplier: A 7-Step Purchasing Checklist

When I took over purchasing at our plant in 2020, I had a simple approach: find a supplier who sounded credible on the phone, compare two or three prices, and place the order. I didn't have a verification process. I didn't think I needed one.

Our company makes industrial rubber components—seals, gaskets, hoses—which means we go through a lot of chemicals. Coatings rubber formulations, water treatment polymers for our cooling towers, defoamers for the coating line. I manage roughly $180,000 in annual chemical spend across eight suppliers. After five years of managing these relationships, I've developed a checklist I run through before every significant purchase. This is that checklist.

Step 1: Confirm you're on the official website

The first thing I do with any new supplier—or any supplier I haven't re-verified in a while—is search for "company name official website." Adding the word "official" filters out most resellers and lookalike domains.

Example: when an engineer asked me to pull technical information on Kemira products, I searched "kemira official website" and landed on kemira.com. The domain was correct, the SSL certificate was valid, and the contact page listed a physical address and regional offices. That's my baseline. If I end up on "kemira-supplies-online.net" or some other hyphenated domain, I close the tab immediately.

Step 2: Compare the logo against the official site

This sounds paranoid, and honestly, it kind of is. But logos are one of the easiest things to get wrong—or to fake badly.

A while back, I received a quote from a company claiming to be an authorized Kemira reseller. Everything looked fine at first glance. But the logo on their letterhead was slightly off. The spacing in the wordmark looked compressed, and the color saturation wasn't quite right. I pulled up the official Kemira logo from their website and put them side by side. Different. I called Kemira's customer service directly and asked whether this reseller was authorized. Their answer: not on our list.

So now I compare logos on every document. The official website, the SDS, the quote, the invoice. They should all match.

Step 3: Verify the product actually fits the application

I'm not a chemist. Let me get that out of the way. Our R&D team specifies the products, and I don't second-guess their technical decisions. What I can do is confirm the documentation matches what they specified.

If we're buying additives for coatings rubber applications, for example, I check the technical data sheet carefully:

  • Does it specifically list rubber or elastomer as a compatible substrate?
  • Does it reference the industry standards our customers require—ASTM, ISO, DIN?
  • Does the product code match the one our engineers specified?

Most buyers focus on price per unit and completely miss specification mismatches that cause rework. The question everyone asks is "what's your best price?" The question they should be asking is "what is this product actually formulated for?"

The same logic applies to performance claims. When a supplier pitches a 10h ceramic coating for our floor coating line, there's a test method behind that hardness rating. Ask for the test report. If they can't produce one, the claim is probably marketing, not science. I had a sales rep tell me once, "10H is just what we call it internally." We didn't order.

Step 4: Screen for regulated substances

This is the step I hate to admit I learned the hard way.

In my first year, I assumed that if a chemical was legally for sale, it was fine to buy. It's more nuanced than that. Products legal in one country can be restricted or banned in another. Some are legal only for specific applications or with special licensing.

A good example is the common search, "what products have paraquat." Paraquat is a highly toxic herbicide, banned in the EU and dozens of other countries. In the US, it's restricted to certified applicators. If any chemical in our supply chain contained paraquat—even as an impurity—and we weren't licensed to handle it, that would be a significant compliance problem.

Now, I'm not the compliance officer. But it's my job to ask the right questions. I ask every new supplier, in writing: "Does any product in this order contain substances on restricted or banned lists?" A legitimate supplier responds clearly. A problematic one gets vague.

"We don't really disclose formulation details over email. Submit an inquiry and our compliance team will review it." — actual response from a supplier I chose not to work with.

Step 5: Get the SDS before you order

Not after. Before.

The Safety Data Sheet is the single most useful document in chemical purchasing. When it arrives, I check:

  • The revision date. Anything more than three years old gets questioned.
  • The product name. Must match the exact product code we're ordering.
  • The supplier's name and address. Should match the official website.
  • Section 15, the regulatory section. This tells you what restrictions apply.

Like most beginners, I skipped the SDS check a couple of times because "it's basically the same as last time." It wasn't. The formulation had changed, the VOC content went up, and it put us in violation of our local air quality permit. A $4,000 mistake when you count the fine and the production downtime.

Step 6: Test the paperwork

Before placing a serious order, ask for a formal quote with a PO number. Then check whether the paperwork is professional:

  • Is the quote on official letterhead with the correct logo?
  • Is the invoicing process clear and documented?
  • Are payment terms standard for the industry?

The most expensive lesson I've learned in this role: a vendor with a great price on a water treatment polymer couldn't provide a proper invoice—just a handwritten receipt. Finance rejected the expense report. I ate $2,400 out of the department budget. Now I verify invoicing capability before placing any order.

Step 7: Start with a small order

Finally, don't sign a bulk contract on the first purchase. Place a small order—a drum or a pallet—and use it to verify:

  • Does the delivered product match the spec?
  • Does the packaging match what was quoted?
  • Is all documentation included in the shipment?
  • Did it arrive within the promised timeframe?

During our 2024 vendor consolidation project—cutting from 14 suppliers to 8—the small-order test caught two problems before they became expensive. One supplier sent the wrong grade. Another missed delivery by two weeks. Both were discovered on small test orders, not on full containers.

A few final notes

This checklist works for me because I've accepted the limits of my role. I'm not a chemist, and I don't pretend to be. Our engineers make the technology calls. My job is to verify the supplier is real, the paperwork is complete, and the compliance questions get asked.

Also, this approach worked for us, but we're a mid-size plant with predictable ordering patterns. If you're a seasonal business with demand spikes, or you deal with international logistics, some of these steps may not apply—and there are probably factors I'm not aware of.

Run the basics consistently: verify the website, check the logo, read the paperwork, ask about regulated substances. It takes about thirty minutes and has saved me from at least two expensive mistakes. I don't skip it anymore.

Technical reading notes

When applying this update to a water treatment program, review site water analysis, metallurgy, target discharge limits, current SDS revision, and the internal approval route used by EHS and procurement. A single product name rarely carries enough context for a confident substitution decision.
